Using Gmail For Small Businesses Online

gmail4businessGMail is one of the most powerful email application iv ever come across, and as any of my customers well tell you I always recommend it for business email… and in this post i’m going to go through just some of the features which keeps GMail in the very centre of business and of my clients.

GMail Is Secure.

Security has to sit at the top of this list, although the list is in no particular order its the first thing that come to mind. Gmail uses HTTPS encryption, which keeps the contents of your GMail mail account secure as it goes between your web browser and Gmail servers, this is very important, as when you are doing business online, emails can include peoples personal details, payment details etc. This is also useful for those who’s work includes traveling, so someone sharing the hotels public wifi can’t maliciously see your mail.

GMail is available on your phone

GMail can be easily accessed using a browser on a mobile phone, by simply going to GMail.com on an Internet enabled phone, you can read and reply to your messages while out and about. GMail also has a number of apps for phones such as blackberry, IPhone and android.

Use It for you@your-domain.com email accounts

Using pop3 or mail forwarding, its possible to send and receive email from your website email. the main benefits of this is that your mail is stored on the GMail servers so you don’t really need to be worrying about space.

Add a signature

Although this is not a feature exclusive to GMail you can add a custom signature to the bottom of your email messages. Email signatures can be a great place to add your contact information, and a link to your website. Signatures are automatically inserted to the bottom of every message you send.

This is probably one of the most useful tools in GMail, you have the ability to create canned responses and save them, so you can quickly reply to common questions.


When it comes to emailing at work, I’m sure you are probably used to sending out weekly reports, OR invoices with the same or similar text within the email. or you might be answering the same questions from customers multiple times.Canned responses can save you hours of your time every week.

Send mail from different email addresses

GMail gives it users the ability to set up custom “From” addresses which allows you to send emails from addresses listed as the sender.

Use chat to communicate with clients or colleagues, or even visitors to your website

Google Talk is a feature which is attached to the GMail application, and is a very useful tools for instant messaging client or co workers. but where it really comes into play is that you can use it as a live chat feature for your web site.

Visitors to your site can click a live chat button on the site, where they will then be shown a chat box, whilst on your side you will be notified that a user wishes to chat. believe it or not this type of on site communication is quite popular and other service providers charge up-to $75 per month for such a service (with a few extra feature)

Search sort & lable

GMail also offer great tools for sorting and searching through your email. lables are a great way to sort through your email, but can be a little tricky to setup,especially when it comes to work email.

If you want to sort your email using lables make sure you’re using labels. together with filters, they can be a powerful tool to manage your mail. Once setup you can simply tag your mail or you can even drag messages into labels.
